Project Assistant


Project Assistants are responsible for supporting Project Managers and Project Superintendents. They are expected to keep in constant communication with project teams, establishing document control measures internally and for subcontractors.


  • Administer client contracts and other job initiation paperwork

  • Participate in the bid/RFP process

  • Manage new subcontractor and professional service paperwork and ensure compliance

  • Issue and manage supplier purchase orders, subcontractor project scopes and change orders, and
    professional design-service contracts

  • Maintain subcontractor lists

  • Set up project superintendents with project materials at onset of jobs; provide updates to project

  • Develop start-up package

  • Issue client change order proposals and manage COP logs

  • Set up and maintain RFI, submittal, and sketch logs

  • Compile job site meeting materials

  • Create, update, and disseminate meeting minutes

  • Assemble weekly job cost reports for project managers

  • Support project superintendents with updating and distributing paperwork and information

  • Prepare electronic and paper job closeout information for clients

  • Ensure all construction permits are valid, on site and posted

  • Prepare letters of transmittal; log and monitor to expedite and track progress

  • Receive and date stamp submittals, log activity, and review for compliance with specification. Note any
    additions, changes or exclusions for manager and take corrective action as directed.

  • Prepare notification of subcontractor pre-qualification results for project manager and perform required
    follow up with subcontractors


  • Associate or Bachelor’s degree in construction management or equivalent training and educational experience

  • 2 years of project assistant or project coordinator experience in the field of commercial construction

  • Dependable, self-motivated, productive, and professional

  • Welcomes the challenge of navigating new or unfamiliar situations

  • Natural team player who is also comfortable working independently

  • Can multi-task and maintain a professional demeanor amidst distractions and interruptions

  • Skilled in oral communication and able to work with a broad spectrum of people with ease

  • Skilled in business writing and editing

  • Proficient use of Microsoft Office, including Outlook, and Adobe Acrobat

  • Experience with Dexter & Chaney Spectrum v14 a plus
